Charter Services

Events for large groups may require the need for shuttle services or other transportation needs. Parking & Transportation Services offers convenient charter services at a low cost to the campus community. A variety of bus sizes are available with courteous drivers who are familiar with the Stanford campus.

Terms & conditions

These terms and conditions comprise the Agreement between PATS Charter Services (“PCS”) and the credit card holder and/or person making this reservation, each of whom is or may be named on the reservation form (collectively “Customer”).

Customer acknowledges that the charge indicated on the reservation is an estimate only and the final charge may be greater when final invoice is received from the vehicle provider.

If Customer cancels a reservation within one hundred and twenty hours (5 Days) of the date of the charter, Customer will remain responsible for full payment. Likewise, any downsizing of service, vehicle size and/or hours reserved by Customer within one hundred and twenty (120) hours of the charter date may not relieve Customer of the responsibility of paying the full contract price. All cancellations must be processed through the website, in writing, or verbally with PCS. Cancellations over the weekend, after normal business hours, by voicemail or on Stanford University holidays are not accepted until PCS acknowledges.

If the charter experiences any mechanical breakdown or other delay, other than those due to traffic conditions, accidents, or any other causes beyond the control of PCS, PCS will use good faith efforts, given other booking commitments, to add any lost time at the end of the charter. If addition of lost time is not possible, PCS agrees to refund to Customer that portion of the charges that relates to the period of time the charter is inoperable and/or disrupted. PCS will not be responsible for delays due to traffic conditions, accidents, or any other causes beyond its control.

Customer and Customer’s party are expected to conduct themselves in a manner so as not to cause injury to themselves, other persons, or property. In the event that Customer or anyone in Customer’s party causes damage to the vehicle, Customer shall be responsible for the cost of repairing such damage. This includes but is not limited to vomit charges of $500 PER incident.

All vehicles are strictly non-smoking and no open containers of alcohol are allowed on any charter at any time. Customers are prohibited from standing on charter buses of any kind while the bus is traveling. Drivers are not allowed to begin or continue travel when Customers are standing.

Customer acknowledges that it is the policy of PCS to comply with all applicable state and federal laws and regulations (including regulations promulgated by the United States Department of Transportation) pertaining to hours in service and required meal/rest breaks for drivers.


Frequently Asked Questions

Who can charter a vehicle through Parking & Transportation Services?

All staff, faculty, students, Stanford affiliated institutes, and groups associated with Stanford events are eligible for our services and rates. Our services and rates are for Stanford events only; Personal, non-Stanford related events are ineligible for our services.

How far in advance should I request a charter?

We accommodate over 2,000 charter requests a year and services do get completely booked. We recommend sending in a request at least four weeks in advance or earlier to secure vehicles, especially for non-local trips

Is the customer guaranteed a reservation when making a request?

No. Since reservations are made based on availability, it is best to make a request as early as possible

What is a mileage quote?

Generally any trip over 90 miles each way is considered a mileage quote (i.e., Monterey, Sacramento, etc.) The quote is based on mileage and not hours. Mileage quotes are not listed on the price table. To inquire about rates, please submit a charter request for a quote.

What can I use a charter for?

Special event shuttles, parking shuttles, conference shuttles, airport transfers, local trips, day trips and overnight and weekend trips (i.e., San Francisco, Yosemite, Tahoe, Los Angeles) and more.

What can’t I use a charter for?

Charter vehicles arranged through Parking & Transportation Services are for Stanford events only. Personal events such as weddings, proms, birthdays, family reunions, and/or anything unrelated to Stanford University are not eligible for our services.

Can a customer rent just a vehicle?

No, all services include a driver.

How much does it cost?

Prices vary depending on factors such as the size of the group, the vehicle type, distance traveled and the length of the charter. All hourly-based rates include gratuity, fuel surcharge, and fees.
