SLAC Access Update

Effective October 2014, before traveling to SLAC, please review and comply with these new procedures.

Alert us of all experimenters who will participate in your scheduled experiments by listing everyone on proposals & beam time/support requests. Contact URA to add additional members to your research team.

Alert your colleagues about access changes, particularly related to visa requirements and reviews/approvals needed for users from certain countries.

Complete the following steps to ensure access and avoid delays:

1. Register through the user portal to provide or update contact information.

2Foreign national users must confirm that they have an appropriate visa before entering the US (for business purposes and not for tourism).

* Bring identification to verify citizenship (US driver's license for US citizens, LPR card for permanent residents, passport & visa documents for foreign nationals).

* There are additional requirements for foreign nationals from certain countries (advance receipt of passport and visa documents may be needed before arrival. A SLAC host may be assigned). Contact  User Research Administration for details.

* Advance approval is required for foreign nationals from Iran, Sudan or Syria.

3. Review updated SSRL and LCLS user arrival & check-in procedures.

4. Complete all training. We recommend that training be completed at least 24 hours before arrival and that you bring a hard copy of the training certificates.

5. Unless you were issued an ID from SLAC Security after October 2014, stop first at the Security Office Building 235 by the main gate to obtain a new ID badge and/or proximity access.

Security office hours are 7 am-5 pm (except weekends and holidays). Temporary cards may be issued by the Main Gate during evenings, weekends and holidays. Your ID badge must be visible at all times during your visit and is required for entry at SLAC's automated gates which operate 24/7 (except holidays).

The experimental areas at SSRL and LCLS are Controlled Areas which means that GERT training is required, but dosimeters are generally not required (except in limited situations).

If you will be working with radioactive materials or have been informed by the Safety Officer that Radiation Worker training is needed, make arrangements to complete Rad Worker Training (both course and practical training) before arrival. Upon completion of RWT training, obtain a dosimeter from Security.

User proximity ID card access is generally valid for the current run year, which coincides with the Fiscal Year (e.g., valid through September 30, 2015).  User proximity ID cards or proximity access may deactivate earlier based on training or passport/visa expiration dates. Users on future scheduled experiments need to check-in annually with Security and URA.

6. Prior to entering the experimental area or starting any experiments, check in with User Check-In Coordinator Jackie Kerlegan in the URA office in Building 120, Room 211 (Monday-Friday from 7 am - 12 noon and 1- 4 pm (except holidays).

Before departing SLAC, return your dosimeter (if issued) to URA or Security.

Return your SLAC ID badge to URA or Security at the conclusion of your experiment if you do not plan to return.
