Metadata Department Glossary

The following list provides definitions for terms commonly used by tthe Metadata Department. You may also wish to check Symphony(Unicorn) and Authority documentation for additional definitions. Please contact us if you don't find the information you are looking for.

A

AUTO barcode

The Unicorn generated unique number in the Item Id field.

B
base call number

Includes the classification and cutters of a call number up to the subfield z (|z) data. e.g. PS1234 .B5 C6 1992, TD1 .E5

BW-CHILD

In a bound-with item: The records for the other titles within the item, which do not contain a real barcode, are called "child" records.

BW PARENT

In a bound-with item: the record that contains the item's barcode is called the "parent" record. The record chosen to be the "parent" record is by convention the record for the first title in that physical item.

C
ckey (Catkey)

The Unicorn title control # without the initial 'a'. If the title control # is not in the standard Unicorn format [a1234567] , (e.g. non-standard format: APD1234, me1234567, har1234567), search the title in Socrates by entering the title control # as it appears in the Control tab of the Unicorn record and clicking on the "Search Everything" option. In Socrates, the ckey appears in the left-hand corner at the end of the bibliographic record labelled Catkey

INPROCESS records

Material has been received by Monograph or Serials Acquisitions and is awaiting cataloging or receipt by shelving location (if a call # has already been assigned). Code appears in the LOCATION field in the Workflows OPAC display or in Current Location field in the Title Edit Volume/Copy tab.

L
Level 3 records

Level 3 records are created for incoming monographs with imprints older than five years that do not have copy, and for items which have cycled through the MARCADIA program without a match. Encoding Level 3 indicates an abbreviated record that does not meet the National Level Bibliographic Record minimal level cataloging specifications. Descriptive cataloging is done according to AACR2, subject access is provided and name headings reflect established forms to the extent that such forms were available at the time the record was created. Level 3 records can be identified by "LEVEL3-CAT" in the Item cat1 field on the Volume/Copy tab and in the WorkFlows OPAC by the presence of a "3" in the Leader field.

M
MARCADIA

MARCADIA is a joint service of the Research Libraries Group and MARC Link Corporation that performs automated searches and matching for brief catalog records created by the the Metadata Department's Classification Unit. The books processed by the Unit are given a call # and sent on to the shelving location. Meanwhile, the record cycles through MARCADIA's search process until a match is found in in RLIN or MARC Link's databases; if no match is found within a specified time, the record is sent to the Data Control Unit for Level 3 cataloging. O
ON-ORDER records

Material has not yet been received. ON-ORDER appears in the "Status" field in Workflows OPAC display or in "Current Location."
