General policies/restrictions for this space
Elliott Program Center (EPC) will be locked prior to the event. Key(s) would need to be checked out from the Governor’s Corner (GovCo) Housing Front Desk during office hours prior to the scheduled event. Office hours are Monday – Friday, 8:00AM – 5:00 PM. Key(s) MUST be returned promptly after event.
Art-related groups hold priority on EPC. Any non art related groups scheduled to use the EPC will get bumped should an art related group request the space.
Theatrical events and/or events requiring stage set up are required to obtain approval from Housing Building Manager AND Fire Marshal. Approval must be received 60 days prior to event. Reservation will be tentative until approval has been received. Santa Clara County permit may be required. Any concerns should be discussed with the GovCo Housing Front Desk.
Events that include alcohol require registration with the Office of Alcohol Policy and Education.
Non-students are charged $100 for usage of the space.
No substance (e.g. talcum powder and/or tape) may be used on the hardwood floor.
Agreement holder must use discretion with the use of dance shoes. Excessive dents and/or scratches in floor will result in charges.
Your group may be bumped at anytime. The Front Desk Coordinator (FDC) will try to notify you at least one week in advance whenever possible. There is no guarantee for any group to use the EPC.
Reservations are made for the current quarter only and group must submit new requests each quarter. Renewals will not be made automatically. Requests for rehearsal space must be made weekly.
Access privileges will be lost if key is not returned and/or if EPC is left un-secured after event. Any group can be denied future access to the EPC at the discretion of the GovCo FDC or Housing Building Manager.
Please inspect EPC at the end of your event. The Housing Building Manager will determine if a cleaning or damage fee will be charged to your group after an event occurs with the assistance of the EPC Inspector. If a penalty fee is assessed, be advised that the charge will be billed to the signee of this contract. Additionally, this fee may be charged via student bills. If there is a cleaning or damage charge after more than one group uses the space on a weeknight or weekend, the total charge will be divided amongst the groups.
Cleaning and Care of the Elliott Program Center
Groups and individual users are responsible for all cleaning at the end of event. Cleaning includes wiping tables free of spills, sweeping and mopping the hardwood floor. Remove all trash and recyclables and place it in the receptacles located adjacent to the building.
Return all tables and chairs to their original location following your event. Furniture may not be moved between rooms. Decorations, flyers, etc., cannot be adhered to wall surfaces and cannot be hung or attached to ceiling. Candles are prohibited in the Elliott Program Center. Please exercise care during set-up and clean-up. Do not stand on the tables or chairs. Be alert to slippery floors while cleaning and place a ‘wet floor’ sign to alert others to take caution.
Failure to clean and ready the room for subsequent use will result in cleaning charges that will be billed to the group or the individual user. Damage to rooms and/or furniture will also be billed to the group or the individual user. Repeated incidents of failure to clean or damage by a group or an individual may result in denial of future reservation privileges. The University Noise Policy and Alcohol Policy must be followed for all events.
