How is my University bill sent to me?

Billing is administered by Stanford University, not the Summer Session Office. Student bills are posted in Stanford’s online billing and payment service, Stanford ePay, on or around the 20th of each month. Students log into ePay via the Student Tab in Axess, and notification of charges to a student’s account are sent to the student’s Stanford email address. Students should set up forwarding of their Stanford email to their personal account to ensure all messages are received.

When do I receive my University bill and how long do I have to pay it?

Once a student has received a Stanford ID number, he or she becomes a Stanford student for the Summer Quarter. Students who receive a Stanford ID number by May 15, 2016 will receive their first University Bill on or around May 20, 2016. This bill will be due by June 15, 2016 for undergraduate students, and July 15, 2016 for graduate students. After the May bill, all current charges will appear on the student’s account on the 20th of each month and will be fully due and payable by the 15th of the following month. Student accounts that become past due are subject to financial holds that block enrollment and ordering transcripts.

Will all of my charges for Summer Quarter be sent in one bill?

University charges may or may not appear during a single billing cycle. Because charges are posted separately for tuition, housing costs, meal plans, campus fees, and other individual expenses, it’s possible that only some charges will appear within a one-month billing cycle. In such cases, additional charges will appear on the next month’s invoice, and the student will be notified via their Stanford email address. For students who have applied for on-campus housing, the housing and meal plan charges may not appear until the June 20 bill.

How do I pay my University bill?

Stanford’s Student Financial Services website provides detailed information on University Billing and methods of payment, including information on international payments and the ePay system. Please note that the University does not accept credit cards as a method of payment. Only fees charged by the Summer Session Office, such as the application fee and visa processing fee, can be paid for using a credit card.

Can I set up a payment plan to pay my bill?

Stanford University requires that each bill be paid in full during that month’s billing cycle. There are no payment accommodations available for the Summer Quarter. If full payment is not received by the due date, the current charges will be rolled over to the next month’s bill and a late payment penalty of 1% of the amount past due will be added.

Can I set up my account so that my parent or a sponsor can make payments?

Even though notification of the online bill will be sent directly to the student, we understand that a parent, guardian, or third-party benefactor may make the actual payments on the account. In this case, students are able to grant access to their online bills by specifying individuals (“Authorized Payers”) who will handle financial matters on their behalf. Detailed instructions are available at Quick Steps: Authorize Others. Students should set up any authorized payers well in advance of their arrival on campus.

Each authorized payer will receive confirmation via email once the student has completed this process, and will be notified when a new bill is posted.

What if I don't pay my bill by the due date?

If full payment is not received by the due date, the current charges will roll over to the next month’s bill, and a late payment penalty of 1% of the amount past due will be added. Official transcripts will not be sent until the University bill has been paid in full.

If I drop a course after I pay my bill, will I get a refund?

Enrollment changes that are made by the Final Study List deadline of July 1, 2016, at 5 p.m. Pacific Time, will have corresponding tuition adjustments. Students can drop one or more, but not all courses, in Axess, prior to the Final Study List deadline and receive a full tuition refund and no record of the course on their transcript. Students will not be refunded tuition for individual courses from which they withdraw after the Final Study List deadline.

Dropping individual courses or adjusting units prior to the Final Study List deadline is different than withdrawing from the Summer Session program. If your intention is to fully withdraw from all courses, see “How do I withdraw from the program if my plans change?” for information. There are no full tuition refunds for withdrawal once courses begin on Monday, June 20, 2016. Partial refunds for full withdrawal are available on a prorated basis until the Term Withdrawal deadline of Friday, July 22, 2016.

There is a health insurance charge on my bill. Can I waive this fee?

All students at Stanford are required to have health insurance and to verify this coverage before beginning their studies on campus. Students who have private insurance coverage are able to waive the automatic University insurance plan:

Matriculated Stanford students are required to waive coverage once per year, usually just before the start of the Autumn Quarter. For students who purchase Cardinal Care coverage for the school year, the premium paid covers the full academic year. Matriculated Stanford students do not need to waive or purchase health insurance during the Summer Quarter.

Visiting students are required to have health insurance. The cost for Stanford’s Cardinal Care health insurance plan is $1,170 for the Summer Quarter. Students who reside in the United States and have family coverage with a U.S.-based insurance carrier may request a waiver of the University’s insurance coverage in Axess by June 15, 2016.

International students may request a waiver by submitting the International Student Health Insurance Coverage Certification Form, completed by their insurance company, to Vaden’s Health Insurance and Referral Office for review. The deadline to submit this form is May 15, 2016. If the waiver is denied, the student will automatically be enrolled in Cardinal Care and the $1,170 fee will appear on the student’s bill. Your insurance card will be mailed to your campus mailing address listed in Axess, if you have entered the address, otherwise it is mailed to your home address.

Starting June 20, you may also print your card at healthnet.com/cardinalcare. When registering, your Health Net Subscriber ID is your eight-digit Stanford University ID number (only one leading zero), preceded by the letter “U”. For any questions regarding waiving health insurance, please submit a Help Ticket to the Health Insurance and Referral Office: helpsu.stanford.edu.

I have a third-party sponsor. How do I make sure they get invoiced for my bill?

In many cases, sponsors can be set-up as “Authorized Payers” within a student’s personal account. If your situation does not fit this model, please contact the Summer Session Office for assistance.

Who do I contact if I have questions about my bill?

Billing is administered by Stanford University, not the Summer Session Office. For any questions regarding your bill, please contact the Student Services Center.

Will I receive a form 1098-T for my Summer Session courses?

Current Stanford matriculated students who are US citizens or permanent residents will receive an IRS form 1098-T from Stanford for the entire calendar year.

Visiting students will not receive a form 1098-T because Summer Session is non-degree granting.
