Getting Started

Sample Student Arts Grant Agreement

I, as representative for the project, , agree to and understand the following stipulations upon receiving a Student Arts Grant:

  • Funding can be revoked at any time due to a failure to adhere to criteria, timeline, misuse of funds or failure to communicate with Stanford Arts.
  • Itemized expense receipts and invoices will be provided to Stanford Arts in a timely manner (within 30-45 days of purchase).
  • Projects must be displayed or performed on campus upon completion as indicated by each grant’s timeline and no later than the end of Fall 2016. If your project cannot be displayed or performed as indicated by the grant timeline, then special arrangements will be made with Stanford Arts.
  • Projects will provide Stanford Arts with performance/exhibition details. For ticketed events (free or paid admission), projects will provide Stanford Arts with at least two complimentary tickets.
  • Grant projects must be documented. Photo and/or video documentation will be provided to Stanford Arts at the completion of the project. Stanford Arts may be able to send a photographer to document your event, but cannot guarantee attendance. • Stanford Arts reserves the right to use documentation of the project or profiles of the artist(s) in publicity materials or other online, digital, or print media in relation to the Student Arts Grant Program.
  • If grantee produces physical or electronic publicity material (including a program, placard, book, Facebook event, or website), projects will follow the guidelines for appropriate logo use and sponsor credit.   • Upon completion, projects will submit a final report and final project budget to Stanford Arts. Reporting guidelines can be found at: arts.stanford.edu/for-students/funding-support/grantee-resources/.
Accessing Your Grant Funds

Budget Adjustments for Your Project
You are required to stick to your itemized budget outline for all purchases for your project. Small adjustments in price are expected though, so we understand if the price of paint has changed over the quarter (for example). If you have a major change to your project’s budget, you will need approval from Stanford Arts to adjust your projects scope. Please contact Sabrina Wilensky (swilensk@stanford.edu) to discuss.

Issuing Grant Funds
Student Arts Grant funding is not intended for travel or lodging expenses or for major equipment purchases. Student Arts Grant funding does not generally pay for stipends or hiring professional.

Student Arts Grants are only funded on a reimbursement and/or direct charge basis:

1.     Reimbursement: The project representative make purchases and then turn in receipts to be reimbursed. Receipts should be turned in promptly (fewer than 60 days from purchase) along with a reimbursement form in order for them not to be taxed. You will either receive a check at the address you have listed in StanfordWho, or if you have direct deposit set up (check Axess) then your stipends will be deposited directly into your account. Direct Deposit generally goes faster than reimbursement by mail.

2.     Direct charge: Examples include

  • Making an online purchase or placing an order through a company
  • Using a campus service (such as Event and Labor Services, Parking and Transportation, or Custodial)

In these situations you will need to work directly with Stanford Arts to coordinate payment. Please contact Sabrina Wilensky (swilensk@stanford.edu) early in the process to obtain the necessary information to process the transaction(s).

Documenting and Showcasing Your Project

Documenting Your Project
You are required to document your creative process during the production of your grant (photos, video, written). Upon completion of your project, you are required to submit a final documentation summary to Stanford Arts. 

Showcasing Your Project
You are required to present your final project through performance, exhibit, poster session, talk, or other avenue. Presentation, whether performance or exhibition, should be made at a campus venue accessible to the Stanford community. Productions can take place anywhere on campus, especially residence hall spaces. 

Student Organizations: Please work with SAL during your production and exhibition planning process.

Promotion

As a recipient of funds from Stanford Arts, all your promotional materials (flyers, e-Flyers, e-Blasts, posters, etc) must clearly display the Stanford Arts logo. Various color schemes of the logo are available to suit your design needs.

 

Promotion Guidelines:

For Electronic Promotional Materials

The logo must stand alone and may not be combined with another logo or used as part of verbiage (in a sentence, slogan, etc.)

For Physical Promotional Materials

The logo must stand alone and may not be combined with another logo or used as part of verbiage (in a sentence, slogan, etc.) Do not print the logo less than 1.5" wide.

If using the logo is not possible due to limited space, then you may write "Supported by a grant from Stanford Arts" in the font used throughout the collateral.

Physical Event/Exhibit Materials

If the material is a program, playbill, placard, or handout, then you must use the line "Project supported by a grant from Stanford Arts" in the sponsor section of the material.

Production Resources

Preparing Your Final Report

Following the completion of your activity, please submit your report online. Your report should include the following:

  • A short summary of your project activities
  • A short reflection on the project experience
  • Financial breakdown of how the funds were used (please submit as an Excel document)
  • Electronic version of your program/playbill, if available
  • Event photo/video documentation with photographer/videographer credits
  • Additional media and materials relating to your event, such as:
    • Electronic versions of promotional/marketing materials
    • Any reviews or articles about the event
    • Quotes or feedback from audience members and/or participants
