1.1 iLab Overview

1. What is iLab?

iLab is a web application some Stanford Shared Scientific Facilities have adopted to manage the process of requesting and billing specialized scientific services, instruments, equipment, supplies, technologies, and technical expertise. It provides Stanford researchers and administrators and outside institutions a centralized marketplace and billing system.

2. Why use iLab?

You must use iLab if you are an administrator who supports a PI whose research team uses the services of one or more Shared Scientific Facilities that have adopted iLab. These are termed Cores in the iLab system.

An iLab Core will not perform the work a researcher requests unless that request is approved by the researcher (termed member in the iLab system) and payment is approved by you the iLab lab Manager.

The Core will not perform the work or service until you approve payment. No further approval is requested thereafter.

3. Terms and Roles Used in iLab

 

Term/Role Explanation

Core

short for iLab Core

A Stanford Shared Scientific Facility that has adopted iLab is termed a Core in the iLab web application.

Each Core that adopts iLab is set up by central administrators in the iLab system.

Lab

short for iLab Lab

Every PI with a sponsored project has been pre-populated in iLab, by central administrators,  as an iLab Lab.

A Lab is linked to its funding PTAs in iLab. 

Financial data is pulled from Oracle for all sponsored projects.

However, non-sponsored project PTAs must be manually entered into an existing Lab by the Lab Manager.

Manager

short for iLab Lab Manager

An administrator who supports a PI whose researchers use an iLab Core is termed Manager, and must use iLab to setup, review and approve financial transactions. 

Keep in mind this is not the same role as a lab manager outside of iLab web application.

Each PI is assigned a manager by the department Manager/DFA.

Financial authority for the Lab manager is not pulled from Authority Manager. 

Member

short for researcher using an iLab Core

A researcher working under a PI who obtains services from an iLab Core is termed a Member.
