Policies

Administrative Guide Memo 85.2, Vehicle Use, covers driving in connection with official University activities. This policy applies to all drivers (including faculty, staff, students, volunteers and other authorized drivers) and to all types of vehicles (including University, personal and rented vehicles). This policy includes information on:

·         How to become authorized to drive a vehicle in connection with official University activities.

·         The circumstances under which University vehicles, including golf cart-type vehicles, can be used.

·         Safety requirements.

·         Accident reporting.

·         Insurance, including insurance required to drive a personal vehicle in connection with official University activities.

·         Consequences of failure to follow the policies.

The following additional policies apply to the use of golf cart-type vehicles:

·         Use of Golf Cart-Type Vehicles at Stanford University: Information on how to register carts with Parking & Transportation Services and to obtain carts in cases of temporary or permanent disability.

·         Safety Guidelines: Operation of Rented or Personally-Owned Golf Cart-Type Vehicles by Authorized Visitors, Alumni or Contractors: Information on when and where visitors and contractors may use golf carts.

Forms

·         Vehicle Operator’s Agreement
This must be completed and signed by all individuals who will be driving in connection with official University activities.

·         Driver Authorization Forms
These must be completed by employees who drive University vehicles and by employees who drive their personal vehicles in connection with official University activities more than 20 hours per month, and turned into your local fleet manager. The local fleet manager will use the forms to check the status of your driver’s license with the DMV. If enrollment in the DMV’s Employee Pull Notice program is required or desired, the local fleet manager will submit these forms to Risk Management.
