Who We Are
Space Management and Planning (SMP) supports the evaluation and allocation of space on campus while planning for long term space needs.
What We Do
Planning
- Integrate space planning with campus-wide planning objectives
- Plan for the long-term space management and planning needs of the university
- Identify options for space efficiency to meet central and academic program priorities
- Manage space guidelines

- Facilitate space planning programming efforts prior to project development

How We Implement
Space Requests
SMP helps to allocate space among competing campus priorities. As part of the space allocation process, SMP also assists with coordinating move planning and surge needs.
To make a space request, a STANFORD FACULTY OR STAFF representative should:
- Review the request with an associate Dean or VP, and make sure that the need cannot readily be met within the school or administrative unit’s existing space
- Fill out an Online Space Request (If you are logged into a personal gmail account on your browser, you may need to first log out to use this google form)
- Support SMP as the team evaluates how space needs align with available space
SMP will use these analyses to form a recommendation for the Provost’s office.
If off-campus space is under consideration, the user representative will be advised to:
- Work with Stanford Real Estate and a local broker to identify potential space
If a space request is approved by the Provost’s office and if a capital project is required, the user representative must:
- Fill out a Form 1 to proceed
Utilization and Fit Studies
To assure efficient and effective space use, SMP is available to help departments:
- Assess their current space utilization, and consider improvements to layout or space assignment
- Figure out whether a potential space will fit the department’s needs
- Identify strategies for sequencing space moves
These studies offer a preliminary understanding of how the space might accommodate a group. The department or school may need to retain a professional architect to finalize drawings.
Space Guidelines
SMP has developed guidelines to assist the university community in making sound decisions about space allocation and planning. These guidelines:
- Apply to both new construction and building renovations
- Are rooted in the principles of: Equity, Efficiency, Flexibility, Environmental Sustainability, and Synergy
- Workspace Size Standards (offices, cubes, open desk space)
- Provide more qualitative Space Planning Guidelines, with recommendations and descriptions of effective layouts for a variety of space types across campus. (note, the non-workspace guidelines are currently being updated)
