Manage Voicemail Find-me/Follow-me

When Find-me/Follow-me is enabled, the Stanford Voicemail system retrieves your subscriber settings to find the numbers where you can be reached and places a call to those numbers. If you answer any of those numbers, you are connected with the caller; otherwise, the system directs the call to voicemail or pages you according to your preference settings.

Note: Find-me/Follow-me settings are controlled only from the online portal.

The Reach me at option provides many of the same features as Find-me/Follow-me, but requires only a simple setup. (See Enable Find-me/Follow-me for how to set up Reach me at.) However, you do have the option to set up a more complex Find-me/Follow-me profile. To do so, you will need to set up your telephone numbers and your work schedule (or use the default schedule), and you can choose to set up other parameters:

Set up your telephone numbers

You can specify numbers where you can be reached. These can be used in various screens of the system to enter a desired phone number with a single click.

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Options.
    The User Preferences page opens. If the Advanced FMFM options link isn't displayed, enable Find-me/Follow-me.

  3. Click My telephone numbers (under Find-me / Follow-me).

  4. Click Edit in the upper-left corner.

  5. Enter the desired ten-digit telephone numbers with no spaces or punctuation.
    Note: Do not enter the phone number associated with this voice mailbox as your Work number. Use the Work number field to record an alternate Work number; otherwise, leave it blank.
  6. Set Number of Rings to 3.
    Note: If a specified number is served by an answering machine that has the "toll saver" function, you may get inconsistent results.
  7. Click Update to save your changes.
    The View User Parameters screen now shows your telephone numbers.

Set up your work schedule

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Options.
    The User Preferences screen opens.
  3. Click Work Schedule.
    The View User Parameters screen opens.
  4. Click Edit in the upper-left corner.
    The Edit User Parameters screen opens.
  5. Adjust the schedule to reflect the days and hours you work. For days that you are off, select Weekend from the list.
  6. Click Update to save your changes.

Add contacts and caller groups

In general, you are not required to set up contacts in this system. All callers from a campus phone will be treated as Business calls. All other callers will default to the settings under the classification "Whenever anyone else calls me," unless they are in a specialized Contact Group. The specialized Contact Groups include:

  • Family
  • Friend
  • Refuse
  • VIP

For contacts categorized as Family, Friend, or VIP, you can set up an alternative call treatment in the Find-me/Follow-me profile. Contacts categorized as Refuse will reach the Find-me/Follow-me option, but will be routed to voicemail rather than your alternate call number.

Add a contact

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Contacts.
    The Contact and Distribution List screen opens.
  3. Click Add Contact.
    The Add Contact screen opens.
  4. Enter the desired contact information and select a Caller Group.
    Note: Enter phone numbers without any spaces or punctuation.
  5. Click Save.

Edit a contact

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Contacts.
    The Contact and Distribution List screen opens.
  3. Click the contact name.
    The View Contact screen opens.
  4. Click Edit.
  5. Make any updates or changes.
  6. Click Update to save your changes.

Create a profile

The Find-me/Follow-me profile tells the system how to handle your incoming calls at different times.

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Options.
    The User Preferences screen opens.
  3. Click Profiles.
    The View User Parameters screen opens.
  4. Click Add.
    The Add Find-me/Follow-me Profile screen opens.
  5. Type a profile name.
  6. In the Schedule section, adjust the schedule to reflect the days and hours you work. These should match the times in your work schedule. For any day of the week that you do not want Find-me/Follow-me to reach you, leave the default hours. These rows can be deleted only after the initial save.
  7. To set the response for campus callers, scroll down to the When a Business caller calls me section. Enter the desired alternate numbers or click the Work, Home, Cell, C1, C2, or C3 link to select that number.
    NOTE: Do not enter the number associated with this voice mailbox. Enter only alternate numbers in these fields.
  8. For all other callers, scroll down to the When anyone else calls me section. Enter the desired alternate numbers or click the Work, Home, Cell, C1, C2, or C3 link to select that number.
  9. For contacts listed in the VIP, Family, or Friend Caller Groups, use the When a VIP calls me, When a Family member calls me, or When a Friend calls me sections to specify how calls should be routed.
  10. Scroll to the bottom of the page and click Save.
    The profile is added to the list and the View User Parameters screen opens.
  11. Next, set the profile for days you do not wish to have this profile used. Click the profile name in the list of profiles.
  12. Click Edit in the upper-left corner.
  13. For any days that you do not wish to have this profile used, select None as the start hour and stop hour.
  14. Click Update to save your changes.

You can repeat this process to create multiple profiles to deal with various schedules and times. Be sure to give each profile a unique name.

Set up call treatment

  1. Log in to the web portal at http://myvoicemail.stanford.edu. (Remind me how)
  2. Click Options.
    The User Preferences screen opens.
  3. Click Call Treatment.
    The View User Parameters screen opens.
  4. Click Edit in the upper-left corner.
  5. Select Find-me/Follow-me Enabled.
  6. Select Automatically select a Find-me/Follow-me profile based on day and time of call.
  7. Click Update to save your changes.

The system will automatically select a Find-me/Follow-me profile based on the schedules listed in your profiles.
