Madrid Required Materials

All items below are mandatory and the submission deadline is October 9th at 4pm.

Mandatory Program Materials

Passport Photos

  • Purchase 3 total passport photos. The photos MUST use the biometric format which has specific guidelines outlining the size of the face, head position, facial expression, photo quality, background, illumination, focus and contrast, eyes and line of sight, and head wear. Any submitted photos that donot use the biometric format WILL NOT BE ACCEPTED.
  • Submit all passport photos to BOSP on the Ground Floor of Sweet Hall with your name and “Madrid” written on the back of each.

Be sure to mention that the photos must be in the biometric format!

Introductory Letter to Your Host Family

  • In Spanish, write a letter of introduction from you to your host family-to-be.
  • Include interests, hobbies, photos and anything that you think your future family should know about you. (please do not provide personal contact information such as email/facebook/skype as sometimes there are late changes in the housing assignments).
  • Save the letter as LASTNAME_FirstName.PDF or .pdf.
  • Upload your Host Family Letter to your Online Orientation Form (see instructions to access that below).

Mandatory General Materials

Online Orientation Form

  • Access the BOSP Application System and complete the Online Orientation Form as indicated on your application dashboard. Scroll down to the Orientation form for the program and click on "Not Recieved" on the right hand side to begin the form.
  • This form will collect information concerning contact info, housing and preliminary course interests.
  • Information about housing can be found in the logistics handbook.
  • Please note that once you’ve submitted the online orientation form you cannot access it again to make revisions. If you wish to begin the form and complete it at a later time, please press save.

Passport Scan

  • Every BOSP participant must have a signed passport that is valid for at least 6 months after the scheduled return date from the overseas program.
  • Please scan the passport information page that includes the page with your biometric information and signature. For non-US citizens with passports that have the biometric data on one page and signature on another, please copy them so that both appear on one page.
  • Access the BOSP Application System, in the top right-hand corner click on your name, and then select "Edit Profile". Upload your scanned passport photo in the field provided, as a PDF file.

Digital Passport-style Photo

  • Scan one passport-style photo and save it as a JPG file.
  • Access the BOSP Application System, and in the top right-hand corner click on your name, and then select "Edit Profile". Upload your scanned passport photo in the field provided, as a JPG file.
  • The photos MUST use the biometric format which has specific guidelines.

Please do not crop the photo printed in your passport to use as your digital photo. This would produce an un-usable photo with watermarks covering your face. If you experience a technical issue with the application system, please try using an alternate web browser before sending an e-mail to the BOSP staff.
