Policies

All students enrolled in courses offered by the Stanford Center for Professional Development are required to adhere to the Stanford University Honor Code and to be acquainted with and adhere to policies and deadlines as they apply to their chosen education path: master's degree, graduate courses (individual courses for credit or audit), or professional courses.

The Stanford Center for Professional Development reserves the right to refuse service to anyone at anytime.

 

Deadlines

Awareness and adherence to deadlines have financial and academic implications for your success at Stanford. Graduate students need to comply with deadlines for filing study lists, enrolling, adding, dropping, or withdrawing from courses, settling financial obligations to avoid late fees, submitting forms such as a leave of absence and for selecting and submitting an exam monitor. Students in professional courses need to be aware of deadlines to receive early registration discounts for courses held at Stanford and for dropping or transferring courses. General information about deadlines is included in the description of policies below. Most specific deadlines for each quarter may be found in the Academic Calendar.

Duration of Access to Online Courses

  • Access to online graduate courses is only granted through the end of the academic quarter in which you are enrolled.

Tuition

  • Tuition rates are subject to change. We recommend you review tuition rates at the course level prior to enrollment.

Document Fee

  • A one-time document fee of $100 is applied to students enrolled in the Non Degree Option (NDO).  This fee covers life-time access to your transcripts, which can be requested at any time, on an as-needed basis.  To request a transcript: https://registrar.stanford.edu/students/transcripts

Add Deadline

  • Non Degree Option students may add courses up until the Add or Drop deadline date, which may be found in the Academic Calendar.  Department approval is required.

Drop Deadline

  • To drop your courses, please login to your mystanfordconnection account:
  1. Click on “My Courses” and select the Drop option
    AND
  2. Send a follow up email to scpd-customerservice@stanford.edu
  • You may drop courses through 5pm Pacific Time of the drop deadline published in the Academic Calendar to receive full reimbursement of tuition back to the original method of payment used, without any record of the course remaining on your transcript. No drops are permitted after this date, regardless of the grade or notation recorded in the course. You will be charged full tuition and fees if you request to remove courses after the financial drop deadline.  Please see “Withdrawal Deadline” section for more information.

Withdrawal Deadline

  • After the drop deadline, you may withdraw from a course through the withdrawal deadline published in the Academic Calendar. In this case, a grade notation of "W" (withdraw) is automatically recorded on your transcript for that course. If you do not officially withdraw from a class by the withdrawal deadline, you will be assigned the appropriate grade or notation by the instructor to reflect the work completed.

Incomplete

  • To request an Incomplete, contact the course teaching team directly and request an Incomplete in writing.  Approval of all Incomplete requests are entirely at the discretion of the course teaching team and is solely based on the amount of work completed to date.  If your request for an Incomplete is granted, notify SCPD via email at scpd-customservice@stanford.edu of the result of your request.  You have one academic year within which to resume the course. You must contact both SCPD and the course teaching team when you ready to resume the course.  For further information please read Office of the University Registrar - Incomplete, Changed and Repeat Grades | Student Affairs.

Change of Grading Basis Deadline

  • In courses where an option is offered, you may elect to change your course grading basis through the change of grading basis deadline published in the Academic Calendar. No grading basis changes are permitted after this date, regardless of the grade or notation recorded in the course.
  • If you are pursuing a Graduate Certificate under the Non Degree Option, the course must be taken for a letter grade to count towards the Graduate Certificate.
  • You must enroll for a letter grade for the maximum number of units if you are enrolled for ANY Computer Science course for graduate credit under the Non Degree Option.

Repeated Courses

  • You may retake any course on your transcript, regardless of grade earned, and have the original grade replaced by the notation “RP” (repeated course). When retaking a course, you must re-enroll in the course for the same number of units originally taken. When the grade for the second enrollment in the course has been reported, the units and grade points for the repeated course will count in the cumulative grade point average in place of the grade and units earned for the first enrollment in the course. Because the notation “RP” can only replace grades for completed courses, the notation “W” (Withdrew) cannot be replaced by the notation “RP”.
  • You may not retake the same course for a third time, unless you received a “NC” (no credit, or “NP” (not passed) from a course that has been repeated.  When a student enrolls in a course for the third time, grades and units for both the second and third enrollments in a course will count in the cumulative grade point average. The notation “W” is not counted toward the three-retake maximum.

Unit of Credit

  • Stanford's long-standing policy, which is in compliance with the federal definition, states that every unit for which credit is given is understood to represent approximately three hours of actual work per week for the average student. This policy is in compliance with federal regulations.

 

 

Master's Degree

The Stanford Center for Professional Development (SCPD) student registration system is integrated with Stanford University's Axess enrollment system in order that master's degree students enrolled through the Honors Cooperative Program (HCP) will be able to submit study lists and register for courses only through Axess. Students need to enter their study lists as soon as possible, but no later than the University deadline. The University will charge a non-refundable fee for late submissions.

Online access to courses, information and settlement of financial transactions, and student support is provided through your mystanfordconnection account. Be sure to review the schedule for tuition and fees for the HCP. If you are responsible for paying your own tuition and fees, you will be notified to settle your account through mystanfordconnection. Late fees will be applied if payment is received after 5:00 pm Pacific Time the day before classes begin. HCP students need to be employed by a SCPD member company.

 

Duration of Access to Online Courses

There is a one-time document fee of $100 for HCP students. This fee covers life-time access to your transcripts, which can be requested at any time, on an as-needed basis.  For Stanford University alumni, this document fee is waived.  There is no additional fee if you have previously paid the document fee as a student under the Non Degree Option. Add Deadline

HCP students may add a course by the Add or Drop deadline date in Axess, which may be found in the Academic Calendar.  No prior approval is required.

 

Drop Deadline

You may drop courses in Axess until 5:00 pm Pacific Time of the drop deadline published in the Academic Calendar and receive full reimbursement of tuition, using the original method of payment. There will be no record of the course on your Stanford transcript. No drops are permitted after the drop deadline date, regardless of the grade or notation recorded in the course. You will be charged full tuition and fees if you drop courses after the financial drop deadline. Please note HCP students must maintain 3 units of enrollment each quarter, unless an approved leave of absence has been filed.


Withdrawal Deadline

After the drop deadline, you may withdraw from a course by the withdrawal deadline published in the Academic Calendar.  In this case, a grade notation of "W" (withdraw) is automatically recorded on your transcript for that course. If you do not officially withdraw from a class by the withdrawal deadline, you will be assigned the appropriate grade or notation by the instructor to reflect the work completed.

 

Incomplete

Leave of Absence

If you choose to take an approved leave of absence or summer annulment, you are eligible for a tuition refund during the first 60 percent of the quarter. Refunds are calculated on a per diem basis (including weekends and University holidays) starting from the first day of instruction of each quarter. Tuition is charged on a daily basis (including weekends and holidays) through the first 60 percent of the quarter. After the first 60 percent of the quarter, you are liable for the full tuition that you were charged. Per Diem Fees are a Stanford University fee based calculation. Professional Courses

Access to online professional courses is granted for 90 days (60 days for Stanford – IATA Certificate courses) upon payment.

Drops and Refunds for Courses Delivered at Stanford University

Refunds for courses will be made according to the following schedule based on the number of calendar days before the start date of a course delivered at Stanford. All drop requests must be received in writing.

Transfer Deadlines for Courses Delivered at Stanford University

Transfers to a different course at Stanford may be made according to the following schedule based on the number of calendar days before the start date. All transfer requests must be received in writing. Program participants enrolled in a course at Stanford may request only one transfer to an alternative course. Tuition funds will be forfeited if a second transfer request is made.

Professional Education Document Fee

A one-time $75 fee is assessed for your first enrollment in a course contributing to the following professional certificate programs:

  • Advanced Computer Security
  • Stanford Advanced Project Management
  • Stanford Innovation and Entrepreneurship
  • Strategic Decision and Risk Management

Upon completion of each professional course, you will receive via email a certified pdf that contains your course history. This fee covers life-time access to this Record of Completion, which can be requested at any time, on an as-needed basis. The Record of Completion is proof of course completion and can be used for reimbursement.  Once you have completed all requirements for the certificate, you will be mailed a hard copy of the certificate.
