Course and Enrollment Management Options

Instructors may seek to electronically limit enrollment in a class based upon specific criteria as specified below.

Permission Numbers

To restrict enrollment by student permission or permission numbers, contact the course administrator in your department office.

Instructors may specify which particular students are eligible to enroll in a course. For example, if your course descirption states that instructor consent is required, you might meet with students to determine their suitability for the course. Once you have determined that a student is eligible, there are two methods to permit them to enroll.

By Student

A department administrator enters the student ID to grant permisson; the student may then enroll.

By Number

Axess generates permissions numbers which are given to the student by department administrator or instructor. The student enters the permission number in Axess in order to be enrolled.

Waitlists

To use a waitlist, contact the course administrator in your department office.

If your class requires a strict enrollment limit, you can permit Axess to add students from a waitlist to any openings that occur. This is a first-come, first-served process; there is no way to prioritize specific students from the waitlist.

Once the allowable enrollment has been reached, students who seek to enroll are added to a waitlist. Students on the waitlist are added to the class from the waitlist when the waitlist process is run to fill any openings that occur when an enrolled student drops the class. Departments can also increase enrollment capacity to add students from a waitlist. The key is that you must determine waitlist capacity before enrollment begins. If no waitlist capacity is determined before enrollment, waitlisting will not work properly.

Note that a student may not exceed the maximum unit enrollment for the quarter or have a time schedule conflict with another course on his/her study list. The waitlist bypasses student in either of these circumstances.

Requisites

To use requisite restrictions, contact the Registrar's Office. The Registrar's Office needs several weeks lead time before the opening of class enrollment to perform set-up for requisite-based restrictions on enrollment. Note that requisites cannot be added or changed once enrollment has opened for the quarter in which the class is offered.

Prerequisites

A student must have taken a specified course or courses before the enrollment term.

Corequisites

A student must be enrolled in a specified course or courses during the term of enrollment.

Conditions

To use any of the following enrollment restrictions, contact the Registrar's Office. The Registrar's Office need several weeks lead time before the opening of enrollment for the class to perform set-up for condition-based restrictions on enrollment. Note that requisites cannot be added or changed once enrollment has opened for the quarter in which the class is offered.

Enrollment may be limited by one or more of the following specific conditions.

Academic Level

Axess may restrict undergraduates by units completed, and graduate and professional students by other enrollment criteria.

• 0 to 39 units is a freshman
• 40- 84 units is a sophmore
• 85 - 129 units is a junior
• 130 units on up is a senior.
• Graduate students criteria are based on terms completed. Professional school vary by plan.

Academic Plan

Academic plan refers to a student's major.

Academic Program

For undergrads, the program is always undergrad. For grad students, the program is the student's department.

Academic Subplan

A track that is declared in Axess. Note that not all tracks are declared.

Course List

A student must have taken 1 or more of a specific course list.

Cumulative Grade Point Average

This refers to all courses that a student has completed.

Student Group

This criterion is used in Axess primarily to determine tuition. In some cases, it may dovetail with useful restrictions. Consult the Registrar's Office.

Test Score

This mostly refers to advanced placement test scores.
