AGM 5.4.2: Business and Travel Expenses

  • Section 2.b.: Travel Policy: Definition of University-sponsored travel: Clarified that travel related to academic credit is considered university-sponsored travel.

AGM 2.1.8: Miscellaneous Authorized Absences

  • Added new Section 1.j.: Paid Leave during Natural Disasters and Emergencies to identify the circumstances by which leave is authorized during natural disasters and emergencies.

AGM 4.2.5: Naming Facilities and Land Features

  • Section 1.a.: Added a sentence to clarify the application of the policy.
  • Section 2: Added a contextual statement to the summary related to philanthrophy and naming; and in 2.a., clarified naming related to honoring faculty, staff, or students.

AGM 3.1.1: Responsibility for University Financial Assets

  • Section 2: Delegated Responsibility: Significant changes to clarify and streamline information about the offices delegated with management of business activities. Deleted several groups previously listed under 2.d. and renumbered so there is now 2.d.(1), 2.d.(2), 2.d.(3), and 2.d.(4). Throughout section: updated descriptions of responsible offices and updated their URLs.
  • Section 3: Annual Audit and Annual Report: 3.b.: Annual Report: Clarified and updated the description and URL; and deleted 3.c.

AGM 2.1.18: Military Leave

  • Throughout: Modified to include reference to California Family Rights Act (CFRA)
  • Section 4: Retitled to: Qualifying Exigency (Emergency) Leave for Families for Members of the Armed Forces (FMLA/CFRA); moved 4.b and 4.c. to new Section 5.
  • Section 5 (added new section): Military Caregiver Leave for Families for Members of the Armed Forces (FMLA); added 5.a., 5.b., and 5.c.

AGM 2.3.5: Disability and Family Leave

  • Throughout: Updated FML to PFL (Paid Family Leave); made “housekeeping” changes to update references to the vendor or University Human Resources, as the local disability administrator is the primary contact for employees; clarified the leave process and records administration.
  • Section 2.a.: Clarified that if both parents are employed at Stanford, each is eligible up to 12 weeks of baby bonding leave. Also added that under CFRA (California Family Rights Act), the serious health condition of specified family members is covered.

AGM 2.1.6: Vacations

  • Section 2: Use of Vacation:
    • 2.g.(2)a.: Terminal vacation: Clarified that terminal vacation is only available to employees who retire as Official Stanford Retirees pursuant to AGM 2.1.10: Staff Retirement.  It is not available to employees who are involuntarily terminated but who may also qualify to retire under AGM 2.1.10. Clarified that employees who are being permanently laid off and are given pay in lieu of notice are not eligible for terminal vacation.  Instead, they are paid out their accruals on their last day of employment.
    • 2.g.(2)c: Additional employment: Clarified that employees cannot obtain additional employment at Stanford while on terminal vacation.

  • Section 4.b. and 4.d.: Updated instructions to refer to the template request form posted on Fingate.

AGM 5.4.2: Business and Travel Expenses

  • Throughout: Updated URLs to new Fingate webpages.
  • Section 1: Guiding Principles: The previously separate sections for Core Responsibility and Guiding Principles have been merged into one (Section 1: Guiding Principles), where an additional guiding principle has been added (Supporting University Travelers).
  • Section 2: Travel Policy: This entirely new section includes the new travel booking policy, key definitions, and exclusions. Information has been added regarding when university-sponsored travel may be prohibited or restricted, and links to corresponding policies and authorities. 
  • Section 4: Added and updated examples of inappropriate business expenses.

AGM 1.7.4: Equal Employment Opportunity, Non-Discrimination, and Affirmative Action Policy

  • Section 4: Renamed from Resources to: Internal Reporting and Resources
    • ​Section 4.a.: Clarified how staff and applicants who believe they have been discriminated against, harassed, or retaliated against in violation of this policy should report their complaints, including identifying the primary group for reporting complaints, Employee & Labor Relations, and all other groups and individuals to whom complaints can be directed. Updated how to contact the Ethics & Compliance hotline by adding the URL for the website. Clarified that discussing concerns with various offices will not constitute “notice” to the university, nor will it create a record of the concerns with the university. Added information for students, who have additional offices available for reporting. Moved two paragraphs from Section 5 to be in Section 4.c. to address faculty and staff concerns (no content changes to those paragraphs).
  • Section 5: Renamed from Internal Reporting to Investigations
    • Moved first two paragraphs to Section 4.c.

AGM 8.3.1: Capital Projects

  • Throughout: Updated names of responsible offices and updated links to reference documents and websites.
  • Section 1.a.: Facilities Project Initiation: Clarified the types of academic facilities and infrastructure projects where Form 1 must be used, and stated the types of projects exempted from Form 1.
  • Section 4: Stanford Infrastructure Program (SIP) Assessment: Clarified the definition of the SIP.
    • Section 4.a.: Assessment: Clarified under what circumstances the SIP is levied and the amounts of the SIP; stated the types of projects where SIP is not levied.
  • Section 5.a.: General Use Permit (GUP) Entitlement Fee, Assessment: Added link to the Capital Projects Fees table, which shows forecasted rates.
  • Section 6: Funding Policy
    • Section 6.a.: Changed to Capital Projects under $25 million, and identified the approval process.
    • Section 6.b.: Changed to Capital Projects over $25 million, and clarified the criteria for the Board of Trustees approval process; added link to Capital Projects Funding Plans and Agreements Policy.

AGM 4.2.5: Naming Facilities and Land Features

  • Section 2.a.: Names of Faculty and Staff: Revised to specify individuals must be emeritus, retired, or deceased, and if not a retiree or emeritus, special approval is needed from the Provost. Additionally, the 10-year waiting period has been removed.

AGM 1.7.1: Sexual Harassment

  • Throughout: Updated name of Title IX office to SHARE Title IX
  • Throughout: Updated oversight role to: Title IX Coordinator/Director of SHARE
  • Section 3: Retitled and added information about Supportive Measures, such as confidential counseling or other supportive actions that are based on individual needs.
  • Section 8: Added a link to the website that contains the full policies and procedures

 

Housekeeping Changes

Changes do not affect policy content, but may include corrected cross-references to other policies, corrected titles, change of authority for the policy, changed URLs, addresses, and phone numbers or very minor text changes for clarity. Policies are not re-dated when housekeeping edits are made; the date is only updated if the policy content is changed.
