To assist with planning your event at the Alumni Center, below are resources that may be pertinent. Your Alumni Center Services event manager will work with you to ensure your event runs smoothly.

University Event Planning Support Sites

  • Event Services (ES) - For A/V, room set-up, and other equipment needs, please contact ES no later than 2 weeks prior to your event date to avoid rush charges.

  • PSSI/Recycling/Garbage - We're able to accommodate garbage and recycling bins for up to 250 attendees. However, for groups above 250, please order 1 extra set of garbage and recycling bin for every 50 additional attendees through PSSI.

    Please consult with your caterer regarding the number of compost bins, and any additional garbage and recycling bins required for your event. We recommend one compost bin for every 50 attendees.

  • Office of Special Events and Protocol - OSEP, a division of the Office of Public Affairs, manages alcohol permits, sponsorship approvals, and security for high-profile events.

    • Alcohol: For events that serve alcohol and are open the public, have a no-host bar, or charge a registration fee, please contact the Office of Special Events and Protocol to obtain the required alcohol permit; this may take up to 2 weeks to complete.

    • Sponsorship: The Alumni Center is part of Stanford University and as such, is a private, tax-exempt venue. It is available for events directly organized, planned, and managed by a Stanford school or department, registered student group, LPCH, or SHC. Events must be consistent with the educational mission of Stanford University and intended primarily for Stanford alumni, faculty, students, and staff. Unaffiliated outside entities must first approach a related department that's willing to take ownership and partnership committing to financial, active planning, and participating responsibilities. Please the visit Office of Special Events and Protocol (OSEP) for more information about sponsored events.

    • Security: Please notify OSEP if additional security is required due to the nature of your event or the attendance of a high profile/VIP speaker(s) or attendee(s).
