Records Retention Schedule

The retention of official records of City business is governed by the City of San José Records Retention Schedule * (See Note). The schedule lists categories of records for each City department and indicates how long they are to be retained.

The schedule and revisions to it are approved by the Office of the City Attorney.  

Revisions must be posted on the City’s website for 30 days before becoming effective. You may view proposed revisions by clicking the Retention Schedule Revision link- also available on the Open Government page, left menu.

* NOTE:
Since October, 2014 the posted retention schedule has been under review. As Departments complete a review,  proposed changes are posted to the City's Retention Schedule Revision link for the required 30 day public posting.

  • Once the 30 days has passed the approved schedule will have a notation indicating it has been approved until the document can be incorporated into the revised Citywide schedule. At this time the following sections have been revised:
    • City Clerk Schedule
    • Citywide Schedule - includes new series numbers for CIP projects
