Email tasks

Tasks that were available in Zimbra but are not available in Office 365:

  • Use Redirect to forward messages (send an email message you received as if the original author sent the message)
  • Edit as new (use an existing email message as a template for a new one with no additional formatting)
  • Add Persona (create other email identities to manage different types of email)

Create an alias to use as your Stanford email address
  1. Go to accounts.stanford.edu
  2. Click Manage and then click the Email tab.
  3. Click Manage aliases.
  4. Create one or two aliases and choose to make one your default email address.
  5. Click Save.

Change your email display name. Faculty and staff:
  1. Go to stanfordyou.stanford.edu.
  2. Click Maintain your directory and AlertSU emergency contact information.
  3. In the Name & ID section, click change.
  4. Enter your preferred name and click Save.
Students and graduate students: go to Axess to change your display name.

  1. In the message, click the Review tab and then click Spelling & Grammar.

  1. Click the File tab and then double-click the Manage Rules and Alerts button.
  2. Click Run Rules Now and select which rules to run.
  3. Click Run Now.

Create a mail signature
  1. Click Settings and then click Options.
  2. Navigate to Mail > Layout > Email signature.
  3. Create your email signature and then click Save.

  2. In the Outlook Options dialog box, click Mail in the left pane and then click the Signatures button.
  3. Create a new signature or choose default signature if migrated from Zimbra.
  4. Click OK to save.
  1. On the Outlook menu, click Preferences.
  2. In the E-mail section, click Signatures.
  3. Click the plus sign (+),   double-click Untitled, and enter a name for the signature.
  4. In the Signature pane on the right, enter the text for the signature.
  5. Click the Default Signatures button and select the Stanford account.
  6. Click the Default signature arrow, select a default signature from the list, and then click OK.
  7. Close the Signatures window.
Add an image to display on your signature

  1. Click the File tab and then click Options in the left sidebar.
  2. In the Outlook Options dialog box, click Mail in the left pane and then click the Signatures button.
  3. In the Edit signature section, click the Inset Picture button to select a picture.
  4. Click OK to save.

  3. Click the signature name and position the cursor in the signature box.
  4. Drag the image from your desktop or from the Format menu click Insert Image.

  1. In the message, click the Options tab.
  2. In the More Options group, click Delay Delivery.
  3. Under Delivery options, check the box for Do not deliver before, and select a date and time.
  4. After you click Send, the message remains in the Outbox folder until the delivery time.

  1. Click the File tab and then click Account Settings > Delegate access.
  2. Click Add.
  3. Search for and select the person to whom you want to grant delegate access,click Add, and then click OK.
  4. Choose the permissions you want to grant the delegate and then click OK.
  5. Click OK to exit.
  1. On the Outlook menu, click Preferences.
  2. In the Personal Settings section, click Accounts.
  3. Click the Advanced button.
  4. Click the Delegates tab and then click the plus sign (+).
  5. Search for and select the person to whom you want to grant delegate access and then click OK.
  6. Choose the permissions you want to grant the delegate and then click OK.
  7. Click OK to exit.
Show original message with full headers, text, URL, etc.

In the message, click the 3-dot menu and then click View message details.
