Transitioning from BlueJeans to Zoom

If you use BlueJeans as your Stanford video conferencing service, you’ll need to transition to Zoom before July 1, 2017 when Stanford’s BlueJeans service expires. You can get more information about why Zoom is becoming the recommended video conferencing service at Zoom into Our New Video Conferencing Services.

The information below should help you start the transition from BlueJeans to Zoom. Don’t worry. The change is not difficult and we’re confident you’ll quickly see the benefits of Stanford’s new Zoom service.

Set up Zoom on your devices

Zoom works on Windows, macOS, iOS, and Android devices. The following instructions will help you get started with individual devices. (If you need to set up a room system to use Zoom, check with your local IT support staff. If you need additional assistance, check out our Room Support service.)

Before you can use Zoom, you must install the Zoom software on your device. We encourage you to download and install Zoom before your first meeting. Otherwise you’ll be prompted to download the software when you attempt to join it. Installing the application ahead of time eliminates the start-of-meeting delay you’ll otherwise experience while you complete the installation process.

  1. Go to the Zoom Download Center or go to stanford.zoom.us and click Download in the footer.

    NOTE: For desktop/laptop users, download the Zoom Client for Meetings. For iPhone or Android users, download Zoom Mobile Apps from your mobile app store.

  2. Once the Zoom Client for Meetings is installed, click Sign In.

  3. Click Sign In with SSO.

  4. Enter stanford when prompted to for your company domain.

  5. Enter your SUNet ID and Password on the Stanford WebLogin screen.

    The Zoom software installs. Once installed, you can join and schedule meetings by either launching the Zoom application or going through the Zoom web portal (stanford.zoom.us).

Schedule your video conferences using Zoom

You can schedule meetings by either launching the Zoom application (zoom.us) or going through a web browser at stanford.zoom.us. You log in with your SUNet ID and password.

  • Using the Zoom application:
    1. Launch the Zoom application.
    2. Click Schedule.

  • Using the Zoom web portal through a browser:
    1. Go to stanford.zoom.us.
    2. Log in with your SUNet ID and password.
    3. Click Schedule a Meeting in the top navigation bar.

The options for setting up meetings vary slightly when using the Zoom application or the Zoom web portal. This page includes a video and instructions for using the web portal and the various operating systems (e.g., Windows, macOS, iOS, and Android), so be sure to scroll down to see all the instructions available.

Tips

  • Encrypt room systems: Stanford Zoom requires that all devices participating in a Zoom video conference have encryption turned on. That’s automatic for desktops, laptops, and mobile devices, but not always true for room systems. If Zoom participants use a non-UIT supported room system, it is best to test the connection before the meeting. If you have trouble connecting to a room system, contact your local IT support for help setting up encryption on the system, or use Stanford's WebEx service when connecting to that room.
  • Set up a Personal Meeting ID (PMI): Like BlueJeans, Zoom lets you set up a Personal Meeting ID that lets you have a meeting without scheduling it in advance. For information, see the Zoom Help Center: Schedule with Personal Meeting ID (PMI).
  • Cancel recurring BlueJeans meetings: Be sure to cancel any recurring meetings in BlueJeans. To create a new series of recurring meetings in Zoom, go to Schedule a Meeting and check the Recurring meeting box. You can then customize your occurrences. Add the new recurring meeting information to your calendar invitations.
  • Use the Zoom Outlook plugin: Zoom's Microsoft Outlook plugin lets you schedule your Zoom meetings directly in your Outlook calendar. For more information, see the Zoom Help Center: How to Use the Microsoft Outlook Plugin.
  • Assign a different person as the meeting host: The alternative host function lets you schedule a meeting and assign another person as a host. This function is only available when you schedule a meeting through the web portal (stanford.zoom.us).
  • Schedule a meeting for another person: To schedule a meeting on someone else's behalf, see the Zoom Help Center: What is Scheduling Privilege?
  • Schedule concurrent meetings: A single host can schedule up to five concurrent meetings as long as they do not use their Personal Meeting ID (PMI) to schedule the meetings.

Download BlueJeans Recordings

If you have recorded meetings on BlueJeans, it’s important to download and save the recordings you want to keep before BlueJeans is retired. Follow these steps to download recordings. Remember, you must download any recordings you want to keep before July 1 or they will be automatically deleted.

BEFORE YOU BEGIN: When you download a BlueJeans recording, it will download to the device you are using. If you don’t want to permanently store the recording on your device or you want to share the video with others, ask your IT support staff which storage service is appropriate for your needs. See below for a few related tips.

  1. Go to stanford.bluejeans.com and log in to BlueJeans with your SUNet ID and password.

  2. Click Recordings in the top navigation bar.

  3. Click on the recording that you want to download.

  4. Click Download on the lower right. The Download Recordings screen opens.

  5. Click the Download icon Download icon.. The recording downloads to your device.

  6. Move the downloaded recording to the appropriate storage location once downloaded to your device.

Delete recordings

To delete the downloaded recording or other recordings you don't want, return to the BlueJeans page. Follow these steps:

  1. Close the Download Recordings screen.

  2. Click Recordings in the top navigation bar.

  3. Hover your mouse over the recording you want to delete and click the Delete icon Delete icon. .

  4. A screen asks "Delete this recording?" Click Yes. Your recording is deleted.

Tips

  • Ensure data security: Videos must be stored securely based on the type of data they contain. For example, be sure to securely store videos that contain high-risk data such as Protected Health Information (PHI).
  • Use a streaming service to share videos: If you will share your videos, consider using a streaming service to achieve better quality. See the Stanford Media Group Community of Practice for information on streaming services.
  • Ensure team access: Consider storing files in a team-accessible drive so that other team members can access them.
  • Download partial BlueJeans recordings: To download just part of a recording (a screen, video share, or chapter), see the BlueJeans Knowledge Article on downloading recordings.
